Salesforce Admin Job Description Template (Free, 2026)

A free Salesforce admin job description template for 2026: duties, must have skills, seniority calibration and the 2026 pay bands to post with it.

Salesforce Admin Job Description Template (Free, 2026)

A Salesforce admin job description template is the cheapest hiring lever you have in 2026, and most of the ones circulating online will quietly cost you money. They still list Workflow Rules and Process Builder, both out of Salesforce support since 31 December 2025, and they describe a role the market has repriced: the UK permanent administrator median sat at 40,000 pounds in the six months to 20 August 2026, down 11 percent year on year, across only 68 tracked permanent ads. The template below is written for the platform and the market as they stand in September 2026. Copy it, set the two calibration levers, post it.

Methodology: pay references come from the Salesforce Ben 2026 administrator salary guide, built on the SF Ben 2025-26 salary survey of 2,316 respondents across 76 countries and more than 17 industries, and from IT Jobs Watch for the UK permanent administrator market, read on 20 August 2026. Certification names follow the Salesforce Trailhead catalogue as of September 2026. Screening ratios and timelines are Apiire's own, drawn from 187 European placements closed between January 2025 and August 2026, and are flagged as such. Every figure carries its collection date.

The 2026 Salesforce admin job description template

This is the version you can paste straight into your ATS. Two calibration levers do the work: the seniority label, and the org profile (user count plus primary cloud). Everything else stays constant from brief to brief.

Job title

Salesforce Administrator, [seniority], [primary cloud or business area]. Example: Senior Salesforce Administrator, Service Cloud. Resist CRM Administrator, Salesforce Analyst or Business Systems Owner. The specialist boards and the saved LinkedIn alerts your best candidates actually run are keyed on the exact string Salesforce Administrator, and a creative title removes you from those alerts entirely.

Two sentence hook

We are hiring a Salesforce Administrator to own [X] users and [primary cloud] on a live production org, with a 2026 focus on [Flow consolidation / permission set migration / Agentforce readiness]. You will own the configuration, the access model and the data quality that every other team depends on, with a named certification budget and a direct line to the people who set the roadmap.

Responsibilities (seven bullets, no more)

  • Own user lifecycle for [X] users: provisioning, deprovisioning, permission sets and permission set groups, and the quarterly access review.
  • Design and maintain record triggered and screen Flows as the single automation layer, and retire any Workflow Rules or Process Builder still running in the org on a documented migration plan.
  • Own the security model: sharing rules, role hierarchy, field level security, and an audit trail your compliance team can read without your help.
  • Own data quality: duplicate rules, validation rules, required field discipline, and the data readiness work that any Data 360 or Agentforce project will depend on.
  • Run releases: sandbox strategy, change sets or a source driven pipeline shared with the developer team, and release notes written for the business.
  • Translate business requests into configuration, and say no in writing, with a reason, when a request needs code, a licence or a process change instead.
  • Deliver enablement: onboarding for new users, a readiness session for each Salesforce release, and documentation that survives your holiday.

Must have skills

  • Flow at production level: record triggered flows, screen flows, subflows, fault paths and error handling. Process Builder experience is not a substitute in 2026.
  • The access model end to end: permission sets and permission set groups rather than profile sprawl, sharing rules, field level security.
  • Data model literacy: objects, relationships, record types, and the ability to explain out loud why a lookup is not a master detail.
  • Reports and dashboards, including custom report types, cross filters and dynamic dashboards.
  • Release hygiene: sandboxes, change sets or source control, and the discipline to never configure straight into production.
  • Salesforce Certified Administrator. That is the baseline, not the achievement.

Nice to have for 2026

  • Advanced Administrator certification, for mid and senior roles only.
  • Agentforce Specialist certification, plus any production exposure to agent configuration, grounding or testing.
  • Data 360, formerly Data Cloud: data streams, unified profiles, and the data quality work underneath them.
  • Platform App Builder, for admins expected to build Lightning apps rather than only maintain them.
  • Experience in a regulated industry, if yours is one. It shortens the onboarding by weeks.

What to delete from the template you were about to copy

Three lines survive in almost every free admin template still ranking on Google, and each one costs you qualified applications. Cut them before you touch anything else.

  1. Workflow Rules and Process Builder. Salesforce ended support for both on 31 December 2025. Listing them as required skills tells every strong candidate the org is years behind, and it is the single most common dating error in admin templates. If you genuinely still run them, frame the duty as migration, which is an attractive brief, rather than as maintenance, which is not.
  2. Profile management as a headline duty. Modern access design is permission sets and permission set groups, with profiles kept as thin as the org allows. Write the responsibility as access governance, not profile maintenance, and you will hear from a different calibre of candidate.
  3. Apex on an admin brief. Asking for code on an administrator spec inflates the cost of the hire by roughly 30 to 40 percent without buying you delivery capacity. If you need Apex, you are writing a developer brief, and our Salesforce Developer job description template covers that side. Where the two roles actually separate is mapped in Salesforce Developer vs Admin.

Seniority calibration for a Salesforce admin job description

The most expensive mistake in an admin brief is not the salary line, it is asking a mid level candidate to carry senior level accountability with no named owner above them. Calibrate the spec against the grid below before you post, and name the things in the right hand column explicitly. Briefs that name them convert faster in our pipeline than briefs that leave them implicit.

What Salesforce administrators actually earn in 2026

Post a band, and post one that matches the level you just calibrated. The two most cited public references disagree, and the disagreement is instructive rather than embarrassing: one measures every UK permanent ad, the other measures self reported senior pay across a global survey.

Market and levelAdministrator pay reference 2026Source and collection date
United Kingdom, all levelsGBP 40,000 median, down 11 percent year on year, 68 permanent ads trackedIT Jobs Watch, 20 August 2026
United Kingdom, seniorGBP 57,588 medianSF Ben 2025-26 survey, 2,316 responses
Germany, seniorEUR 74,220 medianSF Ben 2025-26 survey
Netherlands, seniorEUR 79,500 median, the highest in Europe in this sampleSF Ben 2025-26 survey
Spain, seniorEUR 57,500 medianSF Ben 2025-26 survey
France, seniorEUR 54,373 medianSF Ben 2025-26 survey
United States, seniorUSD 110,100 medianSF Ben 2025-26 survey

The 17,500 pound gap between the two UK rows is composition, not contradiction. The advertised median blends a large volume of junior and first admin roles, while the survey median is the senior end of the same market. Price your brief against the row that matches your calibration, not against the headline. One more number worth knowing before you negotiate: in the same survey, 50.7 percent of administrators who changed job took a pay cut to do it, the highest share of any Salesforce role. That is leverage you have, and it is also a retention risk you inherit on day one. Country by country context sits in our European Salesforce salary guide.

Post the salary band in the ad. In our European briefs, specs without a posted band draw materially fewer qualified applications and close slower, and in the UK, Ireland and several EU jurisdictions transparency is now a legal requirement rather than a preference.

Expect 300 applications, and design the spec for that

Administrator is the one Salesforce seat where sourcing is not the problem. Global administrator supply grew 47 percent in the last cycle against broadly flat demand, and the market saturation rate sits around 330 percent, roughly three qualified candidates for every open role. In Apiire's own placements, an administrator seat reaches a signed offer in a median of 29 days, the fastest of any Salesforce role we fill, while a junior admin posting in a major European city routinely draws 150 to 400 applications. Your job description is therefore a filter first and an advertisement second.

  • Ask one written question in the form. Something like: describe a Flow you built that failed in production, and what you changed. It takes ninety seconds to score and it removes the certified but never shipped half of the pile immediately.
  • Ask for org scale, not years. User count, object count, number of integrations, whether they owned releases. Years of experience correlate poorly with capability on this role, org complexity correlates well.
  • Do not filter on certification count. Four certifications and no delivery history is a common profile in the 2026 admin pool and it is not a strong one. Require Administrator, reward the rest, and read the projects.
  • Name the ceiling honestly. If there is no path to Advanced Administrator or to a platform owner role, say so. The candidates who leave in eight months are the ones who inferred a promise you never made.

If you are hiring your first admin rather than replacing one, the surrounding decisions (scope, in house or partner, timing) matter more than the wording of the spec, and we covered them in Recruter un Salesforce Admin en 2026. FAQ: Salesforce admin job description template 2026

What should a Salesforce admin job description include in 2026?

Seven responsibilities at most, a must have list built on Flow, the access model, the data model, reporting and release hygiene, a nice to have list that carries Advanced Administrator and Agentforce, the user count and primary cloud of the org, and a posted salary band. Anything beyond that is scope you have not decided yet.

Should a Salesforce admin job description still mention Workflow Rules or Process Builder?

Only as migration work. Salesforce ended support for both on 31 December 2025. Requiring them as skills signals a legacy org and pushes away exactly the candidates who could modernise it. Requiring Flow, and describing the legacy automation as something to retire, attracts them instead.

How long should a Salesforce admin job description be?

Between 400 and 700 words, the same band that works for developer briefs. Under 400 words reads as unfinished. Past 800 words you are usually compensating for an undecided scope, and the qualified application rate falls rather than rises.

Should I require the Advanced Administrator certification?

Not below senior level. Certified Administrator is the right requirement for junior and mid roles, with Advanced Administrator listed as strongly preferred. Requiring it on a mid brief narrows the pool without changing what the person will actually do in the first year.

Should a Salesforce admin job description ask for Agentforce experience?

As a nice to have, unless an agent rollout is already funded and on the six month roadmap. Agentforce was the most cited skill focus in the 2025-26 SF Ben survey and still reached only 27.3 percent of respondents, so requiring it as a must have on an admin brief filters your pool hard for a capability most orgs will not use this year.

What salary should I post on a Salesforce admin job description?

Match the band to the calibration level. For a UK brief, the all levels advertised median was 40,000 pounds in August 2026 while the senior survey median was 57,588 pounds, so a mid role sits between the two and a senior role should open at or above the upper figure. Germany and the Netherlands run higher at senior level, at 74,220 and 79,500 euros respectively.
